- You must have a valid UIW identification card for the current semester. Borrowing privileges are automatically lost when a student withdraws from school. Books are checked out only to the person to whom the ID card is issued.
- Borrowing privileges are extended to UIW students who are currently enrolled and are free of any library fines.
- Materials are due on the date (date/time for Reserves) indicated on the date due card.
- Faculty may designate proxy borrowers (student assistants) to check out materials from the Library on their behalf by filling out a proxy borrowing form. For more information please go to Proxy Borrowing
What if I am a visitor to the library?
- Visitors can use the Library during certain hours of the day. There are borrowing privileges for patrons from other libraries with a TexShare card.

What is a Texshare card?
- Students enrolled at institutions of higher learning in Texas can obtain a TexShare borrowing card at their home library. TexShare card holders are entitled to limited borrowing privileges at other libraries. UIW is a member of this statewide consortium of academic, public, and special libraries. How can I check out items on reserve?
- Faculty often put personal or library materials on reserve. You can check these out at the Circulation Desk. Loan periods may vary depending upon the constraints set by the faculty member.
What about Audiovisual materials?
- Audiovisual materials (DVDs, videotapes, CDs, etc.) are checked out through the Audiovisual Collection or the Circulation Desk and are governed by the lending policy established by that department.
How long can I have a book and how many can I have?
Undergraduate Students |
Three weeks during a semester or summer term; 50 items checked out at one time. |
Graduate Students |
Four weeks; 100 items checked out at one time. |
Faculty and Faculty Emeriti |
Up to a full semester or summer term; for a maximum of 100 items. Items must be brought to the library at the end of a semester for renewal if needed. |
UIW Staff and Administrators |
Three weeks; a maximum of eight non-renewable items at the same time. |
IWHS/SAHS Students and Faculty |
Three weeks; a maximum of eight non-renewable items at the same time. |
UIW Retirement Center Residents |
Three weeks; a maximum of eight non-renewable items at the same time. |
Incarnate Word Alumni |
Three weeks; a maximum of four non-renewable books at the same time. A UIW Alumni ID and Driver’s license are required for checkout. First-time alumni users must complete an Alumni/na Library Book Borrowing Application Form available at the Circulation Desk. |
Students From Area Colleges And Universities |
Three-weeks; four non-renewable books; must present a valid TexShare card and their school ID. If they wish to check out more materials, they must first return the first materials checked out. |
Faculty From Other Area Colleges And Universities. |
Three-week period; eight non-renewable books; must present a TexShare card and their faculty ID. |
- Books that are not overdue have not been recalled to be placed on reserve, or have not been placed on hold for other borrowers can be renewed.
- Books may be renewed once by telephone (829-3836), online using the Voyager online catalog or when presented at the Circulation Desk.
Where can I return the materials?
- The borrower bears the full responsibility for returning the materials on time.
- Return materials to the Circulation Desk during library hours.
- When the library is closed, books only may be placed in the Book Drop located near the entrance to the Library.
- Do not drop off audiovisual or Interlibrary Loan items in the Book Drop!
What if the item is overdue? How much will I be charged?
The Library is not responsible for notifying borrowers of overdue materials. As a courtesy, the Library sends one overdue notice, but is not responsible for late, lost, or non-deliverable notices. Fines are listed below:
3-week and 4-week materials: |
25 cents per day, per item, up to a maximum fine of $10 per item |
1-week and 2-day materials: |
50 cents per day, per item, and a maximum fine of $20 per item |
2-hour and 3-hour materials: |
50 cents per hour or fraction of an hour, per item, and a maximum fine of $20 per item |
Recalled materials: |
$2 per day and a maximum fine of $20 per item |
Lost Due Date Card: |
$5 each |
Audiovisuals: |
$1 per day and a maximum fine of $20 per item |
What if I want a book that is already checked out?
- If you are in good standing with the Library, you may place a hold on an item which is currently checked out.
- A recall notice is mailed to the current borrower, indicating the new due date. If the recalled item is not returned on the date due as indicated on the recall notice, the current borrower will be liable to the following fines: $2 per day and a maximum of $20 per item, beginning with the first overdue day after the recall due date.
- When the recalled item is returned, you are notified and the item is placed on the hold shelf at the Circulation Desk so you can pick it up.
What if I lost a book or it was accidentally damaged?
- An overdue item is declared lost when it has accrued the maximum overdue fine. The borrower is assessed the following charges: Cost of replacement, a $20 processing fee and the maximum overdue fine.
- Within a six-month period if you find the materials that have been declared lost and return them to the library, only the replacement cost amount is refunded.
- The processing fee and the fine are NOT refundable once these charges have been assessed.
- When a book is damaged beyond repair, you are assessed the replacement cost and the processing fee. If the book can be repaired, only the cost of repair will be charged to the borrower.
